The service is built around the individual property and may include interior and exterior observations, seasonal conditions, security, access, storm impacts, wildlife activity, contractor coordination, and other property-specific needs.

What we pay attention to

Changes in the home, structures, grounds, access, utilities, weather exposure, security, wildlife activity, or other visible property conditions.

Readiness

Whether the property is prepared for arrivals, departures, seasonal transitions, changing weather, contractors, deliveries, and other planned activity.

Clear documentation of what was observed, what changed, what matters, and what, if anything, requires a decision.

Follow-through

Coordination and accountability when an issue requires action beyond the routine visit, including access, vendor communication, or additional oversight.

What a scheduled visit may include

Each property has its own care plan. Depending on the home, season and owner priorities, a scheduled visit may include observations such as:

Interior condition

Visible changes, unusual conditions, temperature concerns, signs of moisture, leaks, damage, pests or other issues apparent during the visit.

Exterior condition

Visible changes to the residence, roofline, siding, windows, doors, porches and other exterior features accessible from the property.

Utilities & property systems

Visible status or obvious concerns involving heat, power, water, generators and other identified property systems.

Access & security

Doors, windows, gates, driveways and other agreed access or security conditions.

Grounds & weather impacts

Storm debris, drainage concerns, snow or ice impacts, fallen limbs and other visible conditions around the property.

​Wildlife activity

Visible signs of wildlife activity, entry, damage or other conditions that may warrant closer attention.

Seasonal features

Docks, exterior water systems, outbuildings, seasonal structures and other property-specific features identified during onboarding.

Changes requiring attention

Anything materially different from the expected condition of the property that should be documented, communicated or followed up.

The scope of recurring visits is established during onboarding and reflected in the property’s care plan.

A schedule appropriate for the property

Property Care is structured around the needs of the property, the season, and the amount of time the owner is away. Visit frequency is established during onboarding and can be adjusted as conditions or needs change.

Weekly

Frequent oversight for properties requiring a higher level of attention during extended absences, active seasons, or changing conditions.

Twice Monthly

Regular recurring oversight for seasonal and frequently unoccupied properties.

Monthly

Routine documented oversight for properties with lower monitoring requirements.

Additional visits may be arranged around significant weather, contractor activity, extended absences, or other property needs.

Weather Event Response

Maine weather does not always cooperate with a scheduled visit.

Strong winds, heavy snow, ice, extreme cold and significant rainfall can create property concerns between routine visits. Property Care clients can request additional visits following significant weather events to document conditions, identify visible damage and coordinate next steps when needed.

When someone needs access and you can’t be there

Iron Haven can coordinate access for contractors, technicians and other approved service providers when an owner is away.

When requested, we can meet the provider at the property, document the visit, provide photographs of completed work and confirm the property is secured afterward.

Arrival Readiness

Before an owner returns, Iron Haven can help confirm that the property is ready for occupancy and that nothing obvious has changed during the time away.

Arrival readiness can include agreed checks of access, interior temperature, utilities, visible property conditions, storm impacts and other items identified in the property's care plan.

If something requires attention before the owner's arrival, Iron Haven can communicate the issue and help coordinate the appropriate next step.

2. Property onboarding

Once service is established, we document access, communication preferences, important contacts, recurring needs and the practical details required to care for the property consistently.

3. Build the property profile

Iron Haven records the systems, structures, seasonal conditions and property-specific items that should be observed during recurring visits.

4. Scheduled visits

Visits are completed at the agreed frequency, with attention to the property conditions, access, readiness and other items identified in the care plan.

5. Report after each visit

After each visit, the owner receives clear documentation of what was observed, what changed and anything that deserves attention.

6. Coordinate when something is wrong

If an issue requires action beyond routine observation, Iron Haven communicates with the owner, helps coordinate the appropriate next step and follows through as agreed.
